How to prepare your enterprise content management platforms for the future

Good content management plays a pivotal role in an organization’s ability to manage input and output of information. It can make the difference between whether the enterprise understands the value of its content or whether it’s lost in the weeds.

KMWorld recently held a webinar with Chris McLaughlin, CMO, Nuxeo; Max Kelleher, COO, Generis Knowledge Management; and David Jones, VP of marketing, AODocs, who discussed maximizing the value of content to move boldly into the future.

The old ways of managing content isn’t working, McLaughlin explained. Modern content requires support for digital form factors, the bridging of information silos, the ability to deliver insight and intelligence, the support of new content types, governance and security, cloud adoption acceleration, the ability to operate at extreme scale, and an easy way to build new apps.

However, legacy ECM challenges remain, including:

  • Single repository solutions
  • Suites, not a platform
  • Pre-cloud architectures
  • Difficult to develop on
  • Expensive to own and operate

Content services is different, McLaughlin said. It provides a multi-repository approach, singular platforms, is cloud native, low-code tooling, and offers cloud consumption pricing.

Nuxeo offers a rational approach to modernization, according to McLaughlin. The platform can connect and consolidate existing data and content sources.

The future of content management lies less in documents and more in data, said Kelleher. Leading content management systems will focus on passing data from multiple sources of truth in the enterprise into generated content for all purposes from promotional materials, to contracts, to highly regulated submission content.

According to Jones, even though we are preparing for the future, the past won’t let go. He suggested moving away from legacy systems entirely.

He offered up the 3 keys to removing legacy systems which includes changing the company mindset to:

  • Rethink: What does the system need to do and for who? Which systems and data does it need to connect to? How much does it cost? Cloud or On-premise?
  • Migrate: Content & Metadata Users & Roles Integrations Custom applications
  • Use: Collaborative tools for content creation & sharing Simple to setup and use workflows and approvals From the users preferred systems
