Ontario office to manage records info with imaging

The Ontario Office of the Registrar General (ORG, Thunder Bay, Ontario) has contracted for a $2.5 million imaging system to better manage information contained in 350,000 annual records of events it handles each year in its main office and eight regional offices.

Initially spurned by the need to update for Y2K, the ORG additionally chose the solution to manage the capture and archiving of vital records including births, deaths, marriages and name changes. BancTec, which led the deal, also will backfile convert over 13 million existing records (scheduled for completion next April).

The solution is a combination of image and workflow management from BancTec's Plexus division, including Plexus Object/Storage Management and Plexus FloWare. Hardware includes BancTec SpeedFirst document capture application-equipped S-Series scanners, as well as Hewlett Packard K460 scanners and jukeboxes and Compaq desktop workstations.

"We saw BancTec as a prime source vendor providing a proven, integrated solution that met the unique and challenging criteria of our operation," said Walter Bilyk, assistant deputy registrar at the ORG. "We anticipate seeing first phase results by the end of the year."
