Easier e-mail management

With more than a million records to manage, the Greater Vancouver Regional District (GVRD) has deployed an enterprisewide electronic records and information management system to improve services to constituents.

With the new system and its single user interface, employees can store, retrieve and manage any type of content, including e-mail and related attachments.

Chris Plagnol, project manager for the records management deployment at the GVRD, says, "The new system provides a higher level of reliability and authenticity to electronic records management, increases the efficiency of document search for requests under the Freedom of Information Act and achieves a considerable return on investment in terms of human resources allocated to the storage and retrieval of documents."

Yaletown Technology Group worked with the GVRD to develop the solution. As part of the deployment, it integrated the district's records management system with FileNet Content Services to create the single interface that allows users to add, manage, share and retrieve any type of content, including scanned records, forms, e-mail, drawings, maps, contracts and photographs.

The Greater Vancouver Regional District consists of 21 municipalities and one electoral area in Vancouver, British Columbia, delivering services such as water, sewage, drainage and solid waste management.
