P&G adds imaging to standardize global work processes
As part of its restructuring Procter & Gamble (P&G), created a shared services organization, or Global Business Services (GBS) to tie together business accounting, human resources systems, order management and information technology.
P&G must retain records required by regulatory agencies, like the Food and Drug Administration. This results in several hundred thousand document pages per day, which the company retains using SAP.
As they move to this shared services model, P&G has is using document imaging and archiving tools from IXOS to help streamline operations. In addition to archiving the large volume of data records, P&G will be using IXOS-ARCHIVE to help make the transition to the shared services model for accounts payable and human resources. In the past, these functions were performed at each location in 64 different countries – and will soon be done at only 3 GBS sites.
In human resources, IXOS-Archive will be used initially to archive personnel documents, which total over a million pages per year. Additionally, the company will utilize the IXOS-ARCHIVE add-on module, DocuLink, to link documents from outside of SAP (i.e., performance reviews and I9 forms) to employee records within the SAP system.
